The Microsoft Dynamics CRM Q2 21012 service update brings a new cloud based mobile CRM service called Microsoft Dynamics CRM Mobile to customers of Microsoft Dynamics CRM. As part of this new mobile solution, Microsoft will provide a full range of rich native CRM applications (apps) for the most popular smartphones and tablets. These new applications allow a sales, service or marketing professional to access Microsoft Dynamics CRM both Online and On-premises. These apps allow organizations and individuals to be productive with their device of choice thereby enabling them to manage customer relationships anywhere.
It is common for sales, service and marketing professionals to use a variety of devices e.g. a sales person might have both a phone and a tablet device from which they need to access their CRM data and processes. With Microsoft Dynamics CRM Mobile, each licensed mobile user can access Microsoft Dynamics CRM from up to three different mobile devices. Microsoft Dynamics CRM Mobile will also offer an offline mode on most devices* so that Microsoft Dynamics CRM can be accessed even when there is lack of Internet connectivity.

| This week's tip is to show you the new features of Dynamics CRM 2011 that allow you to be more efficient with your time while using the system.
Moving through a list of records from within the record
In CRM 2011, you can go up and down a view of records without having to go back to the view. Let's say I open up a contact from the active contact view. At the top right of the record, I should see a pick list that is labeled with the current view the record was opened from. To the right of that are two blue arrows. If I click on the blue down arrow, the next record in the list will be opened. If the arrow pointing up is pressed, the previous record in the view will be opened. These arrows are useful if you know you need to view all records in a list and will work them in a specific order.
Figure 1 - Up and Down Arrows to move through a list of records quickly.
You can also quickly find a specific record in the list by opening the drop down list. When the list is opened, CRM will show you the records from your view. This is useful if you want to quickly open a record from the view you are working on.
Figure 2 - Drop down list record select.
Take advantage of recently opened items
In CRM 2011, there is a new button that allows you to open your previously opened records or views. This button is located is located to the right of Workplace at the top left section of your CRM screen.
Figure 3 - Recently opened items location
When the recently opened items button is selected, it displays your recently visited records and views. You are able to click on any of these records to open them up. The most recent record that was opened will show up at the top of the list. However, to the right of each record in the list is a pin tack. If you click the pin tack of a record, it will make it so that record or view is stuck in the location of the recently visited items. This means that if you want a certain record to always be at the top of the list, you can check the pin tack. This is a quick and easy way to create a favorites section within CRM.
Figure 4 - Recently opened items.
Set As Default
In CRM 2011, you can quickly set a certain view or dashboard as your default. All you need to do is open the view or dashboard you want as your default. Then click the 'Set as Default' button at the top of the screen.
Figure 5 - Set as Default
Allow co-works to quickly find records
If you are collaborating with your co-workers and ask them to open a certain record in CRM, it would be beneficial to everyone if you just gave them a link to the record in CRM. In previous versions, you would have to tell them the name of the record and they would have to go find it to open it.
In CRM 2011, you can quickly email or copy a link to your clipboard. If you have a record open in CRM 2011, at the top of the record in the Collaborate section, there are two new buttons. The 'Copy a Link' button puts the hyperlink of the record into your clip board. This allows you to paste the link in an email or instant message window. The 'E-mail a Link' button opens a new email message with the link of the record in the message.

Quickly Filter Views
In previous versions of CRM, if you wanted to filter a view you would have to use the advanced find view. Although advanced find views are powerful, it is sometimes a time consuming task for a simple filter change.
In CRM 2011, you now have the ability to quickly apply filters to the columns of the views. At the top right of the view, there is now a Filter button. When this button is pressed, arrows will appear on each column within the view. If you click these arrows, CRM will give you sorting options, basic filter options, and a quick custom filter option.
Figure 7 - Filter Views Quickly
Below is a screen show of the custom filter option. In this example we are filtering accounts that have phone numbers with a prefix of 555.
Figure 8 - Custom View Filter
Quickly add notes to activity records
In CRM 2011, you have the ability to add notes to your activity records from within the view. You do not have to open the record to add a note. At the top of the screen, there is a new button called 'Add Note'. When this button is pressed, a window will display in which you can add a note to the selected record.

If you've used SVN before then you probably enjoyed the windows explorer integration that it offered. Now, the same feature set can be used with TFS for Visual Studio. You can download the TFS Windows Explorer addin and after running the installer you will have a new context based right click menu option available in windows explorer; the context being items which have already been downloaded or synchronized from TFS.

| By default in CRM 2011, you have to first save file attachments before you are able to open them. It appears that Microsoft purposely made the file attachments to work this way. We are not sure the reason for this, so changing the way it functions may have unexpected results. However, this document will explain how to enable CRM 2011 to open attachments without saving them first. If problems occur within CRM 2011 after applying this fix, you can simply turn off the solution to revert back to normal.
Things you will need:
- EASI – File Open Fix solution:
EASIFileOpenFix_1_0_0_0.zip
- System Customizer role
- General knowledge on how to customize entities.
First, you will need to download the EASIFileOpenFix_1_0_0_0.zip solution file. Then you will want to import this solution into your CRM 2011. Once imported, you can then begin by going to each entity you want the fix applied and manually apply the fix.
We will be applying the fix for the contact entity for this demonstration. Open the customize form for the entity you are applying the fix. Within the form window, press the button 'Form Properties.'
Figure 1 - Open form properties from the customize a form window.
Once the Form Properties window should appear, you should add a new form library by clicking 'Add'.
Figure 2 - Add a new form library.
Once you press the 'add' button, a Look up record window should appear. If you have successfully installed the EASIFileOpenFix solution, you should be able to find the "new_FixFileOpen" web resource. To quickly find this resource, you can type in "easi" in the search box. Find and select the "new_FixFileOpen" and hit okay.
Figure 3 - Search and select for new_filefileopen library.
Once you have selected and hit okay for the look up record, you should be returned to the form properties window. Scroll down to the event handlers section of the form properties window. Make sure that 'Form' is selected for the control and that 'OnLoad' is selected for Event. Next, click 'Add' to add a new event handler.
Figure 4 - Add a new event handler.
Once you click add, the handler properties window should appear. From here, you need to select the "new_FixFileOpen" from the library drop down list. Then you need to put in "FixFileOpen" for the Function Field. Then you can exit this window by hitting OK. *Note: the function is case sensitive and will not work if not correctly typed. Also, you should not modify any other parts of the handler properties window that was not mentioned in this document.
Figure 5 - Select correct library and function.
From here, you can close the form properties window by selecting okay. Then you need to simply save the form you are working on and publish your customizations. Once published, the fix should be applied and you can now open attachments on that entity without saving them.
This fix will need to be applied to all forms if you have multiple forms for a single entity. This fix will also need to be applied to every entity that you want to open attachments from without saving them. In other words, if you apply this fix to the contact record and wondering why you still have to save the attachments on the account record… it is because you have not yet applied the fix to the account record.
